1. Introduction
This Privacy Policy explains how Aira Intelligence ("we", "our", or "us") collects, uses, stores, shares, and protects personal data when individuals or organizations access our websites, applications, and related services (collectively, the "Service").
The Terms of Service govern use of the Service. This Privacy Policy provides information about data processing; acknowledging it does not replace any separate consent required for optional analytics, marketing, or other consent-based processing.
2. Personal Data We Collect
2.1 Data You Provide
- Account and identity details, such as name, email address, organization, role, and authentication information.
- Early Access application details, including contact information, company, selected audience or campaign, and application status.
- User Content, including files, documents, prompts, responses, and other information submitted to the Service.
- Support, contact, feedback, and other communications.
- If paid features are introduced, billing, transaction, invoice, and payment-method metadata required to process and administer purchases. Full card details may be handled by the payment processor identified at checkout rather than stored by us.
2.2 Data Collected Automatically
- Technical and security data, such as IP address, browser, operating system, device information, timestamps, requested URLs, referrer, session identifiers, and diagnostic logs.
- Essential cookie and storage data required for authentication, security, language, interface preferences, and consent choices.
- If you grant analytics consent, usage and interaction data collected through Google Analytics and Microsoft Clarity, which may include page views, navigation events, approximate location derived from IP, device/browser information, and interaction or session-replay data provided by those services.
3. How We Use Personal Data
- Receive, review, and respond to Early Access applications.
- Create and administer Accounts and provide the Service.
- Process User Content and AI requests as instructed by the User.
- Operate authentication, security, fraud prevention, troubleshooting, support, and service monitoring.
- If paid features are introduced, process purchases, recurring plans, authorized Auto-Refill transactions, invoices, payment failures, and related notifications.
- Send operational communications, including application, Account, security, service, balance, transaction, and policy notices.
- Where you consent, measure website usage and improve user experience through optional analytics.
- Comply with legal obligations and establish, exercise, or defend legal claims.
4. Legal Bases
Depending on the processing activity and applicable law, we rely on:
- Pre-contractual steps and contract performance, including reviewing requested access, providing the Service, and administering purchases.
- Legitimate interests, including security, fraud prevention, service reliability, support, and proportionate product improvement.
- Legal obligations, including accounting, tax, regulatory, and lawful authority requirements.
- Consent, where required, including optional analytics and marketing communications. Consent may be withdrawn at any time without affecting prior lawful processing.
5. Cookies, Local Storage, and Analytics
We use strictly necessary cookies and similar storage for secure sessions, authentication, language, interface preferences, and recording your cookie choices. These are required for core operation.
Google Analytics and Microsoft Clarity are optional. Their tags are loaded only after analytics consent is recorded through our cookie controls. You can reject them or change your choice at any time through Cookie Preferences. Withdrawing consent prevents future optional loading but does not delete data already processed by the providers.
Google and Microsoft may process analytics data in countries outside your location. Their processing is also governed by their own privacy terms and applicable transfer safeguards. Further details about categories and controls are available in our Cookie Policy.
6. User Content and AI Processing
- User Content remains controlled by the User and is processed to provide requested Service functions.
- We do not use User Content to train general-purpose AI models unless separate, explicit authorization is obtained.
- Users must ensure that they have the rights and lawful basis required to provide and process User Content.
- Service providers supporting hosting, storage, AI processing, and security may process limited data under contractual confidentiality and data-protection obligations.
7. Sharing and Service Providers
We do not sell personal data. We may share only the data necessary with:
- Hosting, storage, security, communications, support, and AI-processing providers.
- Google Analytics and Microsoft Clarity when analytics consent is active.
- If paid features are introduced, the payment processor and financial, tax, or invoicing providers disclosed for the transaction.
- Professional advisers, auditors, insurers, authorities, or other parties where required by law or necessary to protect legal rights.
- A successor or transaction party in a merger, financing, reorganization, or sale, subject to appropriate safeguards.
8. International Transfers
Data may be processed outside your country. Where required, we use recognized safeguards such as adequacy decisions, Standard Contractual Clauses, contractual protections, and supplementary security measures.
9. Retention
We retain personal data only for as long as necessary for the purposes described above, including application review, Account operation, security, legal compliance, accounting, dispute resolution, and enforcement. Retention periods vary by data type and legal requirement. Data is deleted or anonymized when it is no longer required, unless a longer period is legally necessary.
10. Security
We apply technical and organizational measures designed to protect personal data, including access controls, encryption where appropriate, logging, and network protections. No system is completely secure, and absolute security cannot be guaranteed.
11. Your Rights
Depending on applicable law, you may have rights to access, correct, delete, restrict, object to processing, receive a portable copy, withdraw consent, and complain to a supervisory authority. You may exercise available rights through the contact method provided by us. We may need to verify your identity before acting on a request.
12. Children's Privacy
The Service is not intended for individuals under 18. We do not knowingly collect personal data from children. If you believe a child has provided personal data, please contact us so that we can take appropriate action.
13. Changes to This Policy
We may update this Privacy Policy. The current version and effective date will be made available with the Service. We will provide additional notice or request renewed consent where required by applicable law.

1. Introduction
Welcome to Aira Intelligence ("Service Provider", "we", "our", or "us"). These Terms of Service ("Agreement") govern your access to and use of Aira Intelligence's websites, applications, and related services (collectively, the "Service").
By submitting an access request, creating an account, starting a subscription, completing a purchase, or otherwise using the Service, you agree to be bound by this Agreement and acknowledge that you have read the Privacy Policy. If you do not agree, you must not use the Service.
2. Definitions
- Service: the websites, applications, AI tools, APIs, dashboards, and related digital products provided by Aira Intelligence.
- User or You: any individual or legal entity accessing or using the Service.
- Account: the personal or organizational account registered to use the Service.
- Paid Plan: a subscription, license, or paid feature made available within the Service.
- Early Access: a pre-release, promotional, or limited-access version of the Service that may be modified, restricted, or discontinued.
- Aira Query: a usage unit applied to eligible AI operations, as described for the relevant plan.
- Booster: a one-time purchase that adds the stated number of Aira Queries to an eligible Account.
- Auto-Refill: an optional repeat-purchase authorization that, if and when offered, purchases the selected Booster using the saved payment method when the applicable Aira Query balance is exhausted.
- User Content: files, data, documents, uploads, or other materials provided through the Service.
3. Eligibility and Account Registration
- You must be at least 18 years old and have the legal capacity and authority to enter into binding contracts.
- You agree to provide accurate, complete, and current information and to keep it updated.
- You are responsible for your Account credentials and for activities performed through your Account.
4. Access Requests and Early Access
- Submitting an access request does not create an Account, guarantee acceptance, activate a Paid Plan, place an order, or authorize a payment.
- Applications may be reviewed before access is granted. We may accept, reject, prioritize, limit, or close an Early Access programme at our discretion.
- Early Access features may be incomplete, changed, suspended, or discontinued. Availability and timing are not guaranteed.
- Plan descriptions, prices, limits, and planned purchasing features displayed before checkout are informational until the relevant offer is made available. The final price, taxes, included capacity, renewal terms, and payment conditions will be shown before any purchase is completed.
5. Service Scope and Modifications
- We may modify, update, or discontinue parts of the Service, including packages, features, and content.
- Where a change materially affects a paid recurring service, we will provide notice as required by applicable law and the applicable purchase terms.
- We may temporarily limit access for maintenance, security, payment failure, capacity, or operational reasons.
6. Fees, Billing, Boosters, and Auto-Refill
- No payment is collected by the current Early Access application form. A payment obligation arises only when a paid checkout or order process is made available and you expressly complete it.
- By completing a Paid Plan or Booster purchase, you agree to pay the price, applicable taxes, and other charges disclosed before purchase.
- A recurring Paid Plan renews only where automatic renewal is clearly disclosed and enabled for that purchase. You may cancel future renewal through the method provided for the plan before the next renewal is processed.
- A Booster is a one-time purchase and does not, by itself, create a subscription or automatic renewal.
- If and when Auto-Refill is offered, its enabled status, selected Booster, trigger, price, and payment method will be displayed before purchase. By completing a purchase with Auto-Refill enabled, you authorize us and our payment processor to make a separate Booster purchase using the saved payment method whenever the applicable Aira Query balance is exhausted.
- Where permitted by applicable law, Auto-Refill may be presented as enabled by default, but its status must be clearly visible before purchase. You can disable Auto-Refill before the next refill is triggered. Disabling it does not reverse a transaction already processed.
- Each successful refill is a separate purchase. We will provide a transaction confirmation or receipt. If the Booster price changes, the new price will be disclosed or notified before it applies to a future refill as required by applicable law.
- If an Auto-Refill payment fails, no new Booster balance is added and no penalty or interest is charged by us for that failed attempt. Features that require available Aira Queries may be paused until a valid payment method is provided or sufficient balance is added.
- Purchased Booster balances and their validity period will be shown before purchase. Unless a different period is disclosed at checkout, a one-time Booster balance may remain available for up to 12 months from purchase. Applicable expiry reminders will be sent using the Account contact details.
- Payments are non-refundable except where required by applicable law or where the applicable purchase terms expressly state otherwise. Duplicate, unauthorized, or technically incorrect charges will be reviewed in accordance with applicable law and payment-network rules.
7. Fair Use and Misuse
- The Service operates under a Fair Use Policy to protect equitable performance and availability.
- Misuse includes automated scraping, abusive or excessive requests, attempts to harm or overload the Service, unauthorized access or resale, and activity that violates law or third-party rights.
- We may restrict, suspend, or terminate access where we reasonably determine that misuse, security risk, or a material violation has occurred.
8. User Content and Legal Responsibility
- You retain your rights in User Content and grant us a non-exclusive, worldwide, royalty-free license to host, process, transmit, and display it only as necessary to provide and secure the Service.
- You are responsible for ensuring that User Content and your instructions comply with applicable data-protection, copyright, intellectual-property, confidentiality, export-control, and other laws.
- You must not provide content that is unlawful, harmful, malicious, or supplied without the required rights and permissions.
- We may remove or restrict content that we reasonably believe violates this Agreement or applicable law.
9. Suspension and Termination
- You may request Account closure through Account settings or the contact method provided by us.
- We may suspend or terminate access for material breach, misuse, security risk, legal obligation, or payment failure affecting a paid feature.
- Account closure or termination ends future access but does not automatically reverse completed purchases or charges. Mandatory refund and consumer rights remain unaffected.
10. Service Availability
The Service is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted or error-free operation. Maintenance, updates, third-party services, network conditions, and security events may cause temporary interruptions. You should retain appropriate backups of important User Content.
11. Limitation of Liability
To the maximum extent permitted by applicable law, we are not liable for indirect, incidental, consequential, special, or punitive damages arising from use of the Service. Where liability cannot be excluded, our aggregate liability will not exceed the amount paid by you for the affected Service during the twelve months preceding the event giving rise to the claim. Nothing in this Agreement excludes liability or rights that cannot lawfully be excluded.
12. Changes to These Terms
We may update this Agreement. Material changes affecting paid recurring services, Auto-Refill, or data processing will be notified as required by applicable law. The updated version and effective date will be made available with the Service. Where fresh consent is legally required, continued use alone will not replace that consent.
13. Acceptance
By submitting a form that clearly states that submission constitutes acceptance, creating an Account, or completing a purchase, you acknowledge that you have had the opportunity to review these Terms and agree to be bound by them. The Privacy Policy explains how personal data is processed and is acknowledged separately from this contractual acceptance.
